Summary

Admins can allow staff to extend the duration of a Hall Pass during pass creation. When this setting is enabled for a pass, staff can add extra time before creating the pass, without cancelling or reissuing it.

This is helpful when a student may need more time to travel to a location, wait for assistance, or complete a routine visit.

What is extending time on pass creation?

Extending time on pass creation allows staff to adjust the length of a Hall Pass while they are creating it.

For example, if a pass usually allows 5 minutes but a student needs more time to visit the nurse, office, restroom, library, or another location, staff can increase the pass duration before creating the pass.

This setting is optional and must be enabled by an admin for each pass.

Who can extend time on a pass?

Admins decide which passes allow time extensions.

Staff can extend time only when the setting is enabled for that pass.

Students do not configure this setting.
 

Enable time adjustment for a pass type

1. Open Hall Pass configuration for the correct school.
2. Open Pass Types and edit the pass type you want to change.
3. In Teacher & Staff permissions, turn on the option that allows staff to adjust pass time.
4. Save the pass type.

Staff can then adjust the time while creating that type of pass for students within their access.

How staff extend time when creating a pass

1. Open Hall Pass and select Create pass.
2. Select the student, where they are leaving from and the pass location.
3. Review the duration under Pass time.
4. Use the plus or minus controls to adjust the time.
5. Review the details, then select Create.

The pass will be created with the updated time.

When enabled, staff can adjust the configured time by up to 120 minutes while creating the pass. This describes the time adjustment, not a universal maximum duration for every pass type. Review the duration shown before selecting Create. If more time is needed, follow your school’s process for extended movement or supervision.

• Extending time during pass creation avoids cancelling and creating a new pass when a student needs additional time.
• Passes still remain visible in the Hall Pass dashboard.

When to use pass extensions

Use pass extensions when a student may need more than the default pass duration.

Common examples include:

• A student going to the nurse
• A student visiting the office
• A student going to the library or media center
• A student travelling farther across campus
• A student needing extra time due to accessibility, mobility, or support needs
• A staff-created pass where the default time is too short for the situation

Troubleshooting

I do not see the option to extend time

The pass may not have the staff time-adjustment setting enabled. Contact your Hall Pass admin to check the pass settings.

Staff cannot extend time for a specific pass

An admin should check that the staff time-adjustment setting is turned on for that pass.

A staff member needs more time than the system allows
