Extend time when creating a Hall Pass Follow
This article helps admins and staff allow or add extra time when creating a Hall Pass.
Who this is for
Admins and staff
Summary
Admins can allow staff to extend the duration of a Hall Pass during pass creation. When this setting is enabled for a pass, staff can add extra time before creating the pass, without cancelling or reissuing it.
This is helpful when a student may need more time to travel to a location, wait for assistance, or complete a routine visit.
What is extending time on pass creation?
Extending time on pass creation allows staff to adjust the length of a Hall Pass while they are creating it.
For example, if a pass usually allows 5 minutes but a student needs more time to visit the nurse, office, restroom, library, or another location, staff can increase the pass duration before creating the pass.
This setting is optional and must be enabled by an admin for each pass.
Who can extend time on a pass?
Admins decide which passes allow time extensions.
Staff can extend time only when the setting is enabled for that pass.
Students do not configure this setting.
How admins enable pass extensions
- Open Hall Pass.
- Go to the Hall Pass configuration area.
- Select the pass you want to update.
- Find the Approver permissions section.
- Turn on Allow pass extensions.
- Save the pass configuration.
Once enabled, staff will be able to adjust the duration when creating that type of pass.
How staff extend time when creating a pass
- Open Hall Pass.
- Create a pass for the student.
- Select the student and pass location.
- In the Create pass panel, review the pass duration.
- Use the time controls to add more time.
- Review the pass details.
- Select Create.
The pass will be created with the updated time.
What to know
- The setting is configured per pass.
- Staff can only extend time for passes where admins have enabled Allow pass extensions.
- The current maximum extension limit is up to 120 minutes.
- Extending time during pass creation avoids cancelling and creating a new pass when a student needs additional time.
- Passes still remain visible in the Hall Pass dashboard.
When to use pass extensions
Use pass extensions when a student may need more than the default pass duration.
Common examples include:
- A student going to the nurse
- A student visiting the office
- A student going to the library or media center
- A student travelling farther across campus
- A student needing extra time due to accessibility, mobility, or support needs
- A staff-created pass where the default time is too short for the situation
Troubleshooting
I do not see the option to extend time
The pass may not have Allow pass extensions enabled. Contact your Hall Pass admin to check the pass settings.
Staff cannot extend time for a specific pass
An admin should check that Allow pass extensions is turned on for that pass.
A staff member needs more time than the system allows
The current limit is up to 120 minutes. If more time is needed, follow your school’s process for extended student movement or supervision.
Additional Tips
Use pass extensions only for passes where flexible timing is appropriate.
Review pass duration settings regularly to make sure they match real school routines.
For high-traffic locations, consider whether the default pass duration or pass extension setting needs to be adjusted.
