Hāpara Digital Hall Pass is a simple flexible way to manage student movement, improve accountability, keep the school running smoothly, protect instructional time and keep the campus safer.
This article will walk you through how to set up Hāpara Digital Hall Pass in the Hāpara Admin Console.

Who can configure Hall Pass?
Admins and School Leaders can configure the pass types available at their school.
Hall Pass is managed through the Hāpara Admin Console.
School Leaders can access Hall Pass configuration features available to their role.
Admins do not create or manage day-to-day Hall Passes from the standard Hall Pass application.
Pass configuration can include
- Pass name
- Category or color
- Maximum duration
- Maximum concurrent students
- Class-level availability
- Return or one-way journey
- Approval requirements
- Auto-approved passes
- Location
- Staff permissions
- Active or inactive status
Passes can also be duplicated, deactivated or deleted when required.
If admins have access to multiple schools, they will see a list of the schools available to configure. Each school is configured separately. Click on the school you would like to set up Hall Pass for.
If admins have access to one school, they will go straight the Hall Pass setting page.
Configure Hall Pass settings for your school
- Sign in to the Hāpara Admin Console with an account that has the right permissions.
- Click Hall Pass in the Hāpara Admin Console.
- Select the school you'd like to set Hall Pass up for.
- Navigate to Enable Hall Pass and switch toggle to Yes to enable Hall Pass for the school.
5. Admins can choose whether students are allowed to request their own Hall Passes. When student self-service is enabled, students can request Hall Passes from Student Dashboard. When student self-service is disabled, students cannot create their own Hall Pass requests. Teachers and School Leaders can still create passes for students. This setting applies school-wide.
6. Optional: Turn on Daily student pass limit to limit how many hall passes a student can request or use in one school day.
7. Optional: Turn on School hallway limit to limit how many active hall passes can be used across the school at the same time.
8. Optional: Enable Teacher override, turning on this option will allow teachers grant passes to students who have exceeded their daily pass limit.
Configure Passes
Set up and manage different types of hall passes for your school. Teachers can approve, deny, or deactivate specific passes as needed, ensuring smooth classroom management.
- Click Pass Types.
2. Click + Add pass to create a new pass
3. Enter the pass details:
- Name
- Category
- Maximum duration
- Capacity Limit
4. Configure the Approval & journey settings.
Journey type - select whether the pass is Return or One-way
Pass approval - select whether the pass can auto approved and by whom.
5. Set Teacher & Staff permissions
Enabling this setting will allow staff to add extra time when creating a Hall Pass.

6. Choose whether the pass location is available to all classes or only specific classes and whether students can apply for this pass.
7. Save your changes.
8. Repeat these steps for any additional pass locations your school needs.
Passes will be listed on the Configure passes page and can be deactivated, edited, duplicated and deleted as needed.
Deactivating Passes
Passes can be deactivated easily when needed.
- When a pass is deactivated, it will not show in the Create pass list for any users, Teachers, School leaders, Destination approvers or Students. Admins can turn back on at any point in time.
- If there are currently active passes, they will be unaffected and will continue for the remainder of the pass
Deleted passes
- When a pass is deleted, any active passes at the time of deletion will remain in place until they have ended.
Duplicating Passes
Passes can be duplicated to easily create additional similar passes.
Note: Passes need to be set for each individual school. They cannot be set at domain level.
Depending on your permissions, additional Hall Pass controls include:
Pause Passes
Temporarily Pause pass creations. Any active will remain.
Encounter Prevention
Prevent selected students from having overlapping Hall Passes.
Roles and Approvers
Configure Location Approvers and assign approver labels to locations.
Kiosk Mode
Enable and manage shared kiosk devices for student Hall Pass use.

Troubleshooting
I don’t see Hall Pass in the Admin Console
- Confirm your account is in the Tech Admins or Leadership group.
- Confirm you are signed in with the correct school-managed account.
- If access was recently updated, allow time for changes to apply.
I can access Hall Pass, but I can’t configure a school
- Check whether you have access to that school in the Admin Console.
- If you manage multiple schools, make sure you selected the correct school before opening Settings.
Teachers can’t use a pass type
- Check that the pass type was created for the correct school.
- Check whether the pass type is available to all classes or only selected classes.
- Confirm the pass type has not been deleted or edited in a way that limits availability.
