Self‑Service Setup – Step 2: Add schools and set user permissions (Hāpara Admin Console) Follow
This article helps administrators add schools in the Hāpara Admin Console and grant themselves (and others) admin access.
In this article:
Before you follow the steps
Complete these two tasks now:
Add every school that will use Hāpara.
-
Add yourself to the Tech Admins Google Group so you can access the Hāpara Admin Console after setup.
Steps to follow
A) Add schools
-
In the Hāpara Admin Console, open Schools → click + Add school.
-
Enter a School name and a short school code (e.g., “HHS”).
-
If you’ll roster via SIS sync, match the school code to your data source: Clever/PowerSchool →
school_number; ClassLink (OneRoster) →sourcedID. This ensures automated rostering maps to the right school.
-
-
Repeat for all schools. Tip: wait ~2 minutes per school before rostering so background processes complete. If a school already has data, contact Support to remove it.
B) Set user permissions (give yourself admin access)
Hāpara uses Google Groups to grant access. To ensure you can re‑enter the Admin Console after onboarding, add your account to the Tech Admins group.
-
Go to User permissions → Roles → Tech Admins → Edit members. This opens the
td.administratorsgroup in your Google Admin Console. -
Click Add members and add your admin account.
(Optional) Grant school‑level admin access by adding users to
td.administrators.{schoolcode}(e.g.,td.administrators.52@...). School codes are listed on the Schools page.(Optional) Give non‑teacher leaders read‑only class visibility by adding them to
td.users(domain) ortd.users.{schoolcode}(single school).
Propagation time: Group membership updates may take up to 24 hours to be recognized across systems. Support can expedite access if needed.
Tip: During onboarding, keep the Admin Console tab open until your access is recognized; if you close it too soon, you might not be able to re‑openapp.hapara.com/adminuntil caching catches up.
Additional tips
Ensure your Hāpara Admin (service) account has Groups Admin and User Management privileges in Google Admin; this account is used for directory and group actions. Hapara Support
Keep school codes short and consistent across systems to reduce rostering mismatches.
