Hāpara Hall pass - Educators guide Follow
Use Hāpara Hall Pass to create and manage student passes during the school day. If Hall Pass has been enabled by your school, you can open it from the Hāpara menu, create a pass for a student, end an active pass, and review pass history. Some users, such as Tech Admins and Leadership group members, can also view analytics.

Accessing Hall pass
If your school has enabled Hāpara Hall Pass, you will see a Hall pass tab in the Hāpara menu bar. Select this tab to open Hall Pass.
Once you are in Hall Pass, you can use the menu on the left to move between Hall passes and History. If your account is part of a Tech Admin or Leadership group, you may also see Analytics.
If you do not see Hall Pass or the options you expect, contact your school IT administrator to confirm that Hall Pass is enabled and that you have the correct access.
Create a pass for a student
Use these steps to create a hall pass for a student:
- Navigate to the Create pass button on the top right hand side of the screen.
2. Use the search bar and begin typing to search for the student you'd like to create a pass for.
3. Select the pass location from the last provided and click Create.
Hall pass locations are created by Hāpara Hall pass admins. If there is a pass location that you are needing and it is not listed, please reach out to your school IT administrator and they will be able to help.
4. The student will then be shown in the pass list with an Active status.
Student requested pass
If your school Hall pass administrator has enabled the option to allow students to request passes, students will be able to create Hall passes from their student dashboard requesting a pass from any teacher of classes they are assigned to in Hāpara.
The student requests will be visible for teachers from the Hall pass screen in Hāpara.
The pass can be approved or denied from the Actions column.

Daily pass limit - teacher override
If your administrator has set a Daily student pass limit you will find that if a student has exceeded their daily limit, there will be a notification to let you know when you attempt to grant a pass.
If your administrator has allowed for Teacher override, this will allow teachers to approve or create passes even after any limit has been reached.
End an active pass
When a student returns, you can end their pass from the active pass list.
- Find the student in the active pass list.
- Select End pass.
Ending passes promptly helps keep Hall Pass records accurate and makes the history and analytics more useful for your school.
View pass history
Use History to review past hall passes.
1. Open Hāpara Hall Pass.
2. Select History from the left-hand menu.
3. Review recent pass records.
Educators can view up to the last 30 days of hall pass history. You can also filter history by status, location, or class, or search for a student by name. This makes it easier to check recent activity or find a specific pass record.
Deactivated Pass Locations
If a pass location has been deactivated by your school Hall Pass administrator, you will notice that the pass location will no longer be available from your Create pass menu.
Pass locations can be deactivated for many reasons eg. toilet block out of order
If there are currently active passes for this pass location, they will be unaffected and will continue for the remainder of the pass.
Additional tips
- If you cannot see the Hall pass tab, check with your IT administrator first.
- If a needed pass type is missing, ask your Hall Pass administrator or IT administrator to add or update it.
- If you need school-wide reporting, confirm whether your account is in the correct Tech Admin or Leadership group.
- Use clear pass-ending practices so history and analytics stay accurate.
